When you create a mailbox, Parseur asks which type of mailbox you want.

You can choose between:

  • creating a custom mailbox where you will control every aspect of the data extraction process

  • creating a mailbox based on a predefined model that will already include some pre-made templates

What is in a predefined mailbox?

A predefined mailbox includes:

  • a predefined set of fields

  • access to a set of templates for the most common platforms. Those templates are maintained by the Parseur support team so that you don't have to.

Using a predefined mailbox ensures your documents can be parsed automatically, without the need to create and maintain templates!

When a document is parsed using a ready-made template, you'll see the "managed by Parseur" mention under the template name.

Can I add my own templates to a predefined mailbox?

Yes, you create your own templates while using a predefined mailbox.

When you have local templates in a predefined mailbox, Parseur will try to use them first. If it fails, it will try to use one of the ready-made templates. Read more about how Parseur picks a template.

What to do when Parseur couldn't process a document in a pre-defined mailbox?

For best results, we strongly recommend that you set up your systems to send documents directly to Parseur or that you set up automatic email forwarding.

If you still have documents failing to process. You can either:

  • Create your own template (see here for more information)

  • Ask us on the chat to add support for the type of documents that couldn't be parsed

How quickly can you add or fix templates?

Although we can't commit to a particular deadline, we try to be very reactive in creating and updating templates. We usually answer most requests for template creation within 1 business day.

Can I change the name or format of a field?

If you can. For example, if you don't need Parseur to geolocate addresses (which cost an additional credit per field), you can change the format back to Text.

To change the name or format of a field:

  • Open your Parseur mailbox

  • Click on the Fields section in the left menu

  • Click on the Edit button next to the field you want to change

  • Change to the name or output format

  • Click Update

Note: you will need to reprocess existing documents or send a new one to see the changes.

Can I add other fields to data extracted from a "managed by Parseur" template?

No, you cannot access templates managed by Parseur and hence can't make changes.

However, you can always create your own custom templates if needed. Parseur ready-made templates are created using the same editor you have access to.

Can I disable using ready-made templates?

Yes. To disable access to ready-made templates, switch back to your mailbox to the custom type:

  • Open your mailbox

  • Click on the Settings section on the left menu

  • Under Mailbox type, choose Custom

  • Click Save

Can I get my own predefined mailbox and centralize all my templates?

Yes, if you're on an Enterprise plan, you can get your own predefined mailbox.

This can be useful, for example, in case you extract data from the same documents but you want to have a separate mailbox for every one of your customers, office locations or branches.

Instead of copying templates from one mailbox to another, you can manage all your templates in your custom predefined mailbox and then "link" all your individual mailboxes to it.
