Understand the Documents section of your mailbox

This guide explains the Documents section of your mailbox and how to access, manage, and take actions on your documents in the application.

Accessing Your Documents

  1. Open your mailbox.

  2. Click the “Documents” section in the left-hand menu.

  3. The number next to the “Documents” label shows the total number of documents available in your mailbox.

Viewing a Document

  • From the document list: Click the document’s name to open it.

  • Alternative: Hover over the document row and click the “View” button.

Available Actions on a Document

When you open a document, the following actions are available in the top-right corner:

  • Preview and Next: Navigate to the previous or next document.

  • View Document: Open and review the document in detail.

  • Add Sample to Template: Add the document to an existing OCR template (for supported formats like PDFs).

  • Create Template: Build a new template using the document as a sample.

  • Re-process: Re-run the document through the parsing engine.

  • Skip Document: Skip this document manually. Skipped documents are excluded from downloads and export automations.

  • Copy: Copy the document to another mailbox (you’ll be prompted to select the target mailbox).

  • View Logs: Check detailed logs of actions performed on this document.

  • Debugger: Launch the template debugger (only showing if you have templates)

  • Download: Download the original version of the document.

  • Delete: Permanently delete the document.

Quick Actions in the Document List

While hovering over a document in the list, you can also access these key actions:

  • View Document

  • Add to Template

  • New Template

  • Re-process

  • Skip Document

  • View Logs

  • Debugger (only showing if you have templates)

Viewing Document Logs

Click the 🔎 Log button to access the document’s activity history.

The logs include events such as:

  • When the document was received and processed.

  • Data extracted and matching templates (if any).

  • Post-processing steps and outcomes.

  • Servers the parsed data was sent to, along with server responses.

  • Any reprocessing events.

Logs are listed chronologically, with the newest entries at the top. Click “Show Details” for additional information about specific events.

Searching and Filtering Documents

From the document list, you can search for documents by:

  • Name or subject

  • Template name

  • Metadata information

  • Document content by selecting "also in content" from the dropdown list. This can be quite slow if you have a large mailbox.

Use filters to narrow your search:

  • Status filter: Select the document status from the dropdown.

  • Date filter: Choose a specific date or date range.

Frequently Asked Questions (FAQ)

Does deleting a document affect templates it is linked to?

No, deleting a document won’t delete the associated template. The template will remain active. However, if the deleted document was the last sample for an OCR template, you will need to add a new sample to continue editing the template.

How can I see the exact date and time a document was received and processed?

  • Option 1: Open the document, and you’ll find the received and processed dates at the top of the page.

  • Option 2: In the document list, enable the “Display Timestamps” toggle in the bottom-right corner of the table to see exact dates.

How can I view all documents matched by a template?

  • Go to the Templates section of your mailbox.

  • Find the relevant template and click the “X documents” link next to its name (X being the number of documents this template has matched).

  • You’ll be taken to a list showing all documents that matched the template.

Can I filter documents processed by AI?

This feature is currently unavailable. You can upvote the feature request to prioritize it here: Feature Request: Add filter to see only (AI) parsed documents
